Output Management

With all information and all business processes in one system it is a no brainer to use relations and links between the different business objects to also automate the output processes. A great example is the purchasing process where after preparing the purchase order in SAP the process to collect all information like the purchase order itself, terms and conditions, specifications, the drawings in the right version etc. are still a manual and time consuming process. A modern output management system is able to use the object links and other dependencies in SAP to collect these documents, convert them into PDF files, stamp them with the most recent information and combine them in one PDF file. Because SAP canalso manage this PDF it is possible to capture also the information which drawings are already provided to vendors. And if a document or information changes in SAP the purchasing department will know with a few mouse clicks which vendor has received the old version and will need an update if this process is not already automated.

Output Management System is able to automate the following processes:

•    Collect and fax all documents related to a sales order
•    Collect, publish documents on cFolders and send access information to partners
•    Collect and publish all user documents for a specific machine or product on a website
•    Print all documents effect by an engineering change process
•    Collect all documents and burn on a DVD related to a project
•    Collect and print all documents necessary for production even on big size plotters
•    Copy all documents for a maintenance order on a local hard drive
•    Collect and print all drawings related to an assembly
